We are seeking a suitably qualified and experienced individual to join Lady Pohamba Private Hospital as a Switchboard Operator on a Fixed-Term Contract. The successful candidate will be responsible for providing an efficient, professional and courteous telephone reception service by managing incoming and outgoing calls, directing callers to the appropriate departments or employees, and ensuring that callers receive a professional and positive experience.
Key Performance Indicators
The incumbent will be responsible and accountable for:
- Operate and manage the hospital’s switchboard system effectively and efficiently.
- Answer, screen and direct incoming calls to the appropriate departments or employees.
- Take and relay accurate telephone messages where required.
- Provide callers with basic information and assistance in a professional and courteous manner.
- Maintain an accurate and up-to-date directory of internal extensions and relevant contact information.
- Manage and respond to switchboard-related enquiries efficiently.
- Maintain professional and courteous telephone etiquette at all times.
- Assist with general reception and administrative duties when required.
- Maintain confidentiality when handling sensitive, patient-related or business information.
- Report any faults, technical problems or interruptions relating to the switchboard system.
- Ensure that calls are handled promptly and professionally.
- Escalate urgent or relevant calls to the appropriate department or person responsible.
- Maintain a professional and welcoming telephone service that reflects the standards of Lady Pohamba Private Hospital.
- Perform any other duties reasonably related to the position.
Qualifications and Experience
- Grade 12 or equivalent qualification.
- Previous experience as a Switchboard Operator, Receptionist or in a similar customer-facing role.
- Excellent verbal communication and interpersonal skills.
- Professional and courteous telephone etiquette.
- Good command of English; knowledge of additional local languages will be an advantage.
- Basic computer literacy.
- Ability to work under pressure and manage multiple calls and enquiries efficiently.
- Good organisational and administrative skills.
- Ability to maintain confidentiality and exercise discretion.
- Previous experience within a healthcare or hospital environment will be an advantage.
